How do I upload receipts to QuickBooks Online?
Pick the method that matches where the receipt already is. A paper receipt in your hand wants the phone. A PDF invoice sitting in your inbox wants email forwarding. A folder of scans from last quarter wants the web uploader.

The web route is the one most bookkeepers use for volume. Go to Transactions, open Receipts, and either drag files onto the drop area or browse for them. You can select several files at once. Each one is processed separately and appears in the For review tab with whatever QuickBooks managed to read off it.
How do I scan a receipt with the QuickBooks mobile app?
Open the QuickBooks Online app, go to Receipts and use the camera. Hold the phone flat over the receipt so the whole thing is in frame, including the total at the bottom, and let it focus before you shoot. The image uploads to the same Receipts queue you see on the web, so a receipt snapped in a parking lot is waiting on the bookkeeper's screen a minute later.
Two practical habits make a large difference to how much of it QuickBooks reads correctly. Flatten the receipt first, because thermal paper curls and a curled edge blurs the line the total sits on. And shoot against a dark, plain surface rather than a white desk, since the contrast helps the software find the edges of the paper.
How do I email receipts to QuickBooks Online?
QuickBooks generates a custom forwarding address tied to your company file. An admin has to turn forwarding on for each user who should be allowed to send to it, which is a permission toggle rather than a setting you flip once for everybody. Once a user is enabled, they forward the receipt from the email address registered on their QuickBooks account and it appears in Receipts for review.
The address is per company, so if you keep books for several entities each one has its own. That catches people out when they forward a client's receipt from the wrong mailbox and it silently goes nowhere. If forwarding stops working, the first thing to check is that the sending address matches the one on the user's QuickBooks profile.
What file formats does QuickBooks accept for receipts?
QuickBooks Online accepts PDF, JPEG, JPG, GIF and PNG. It does not accept HEIC, which is the format newer iPhones and iPads shoot in by default, so those images have to be converted before they will upload. That single detail is behind a large share of the "my receipt will not upload" complaints.

The one-receipt-per-file rule is worth taking seriously. Photographing six receipts fanned out across a desk feels efficient and produces one transaction with one wrong total. If you have a stack, shoot them one at a time or run them through a scanner set to save each page as its own file.
Can I upload multiple receipts at once?
Yes, as separate files. Drag a whole folder of images or PDFs into the Receipts screen and each is processed on its own. You can also attach several receipt images to a single forwarded email. What you cannot do is put more than one receipt inside one image or one PDF page and expect two transactions out of it.
For a genuine backlog, batching by month rather than by pile keeps the review step sane. Everything that lands in For review has to be matched or categorized by a person, and a hundred unmatched receipts in one queue takes longer to clear than five batches of twenty.
How do I match a receipt to a transaction in QuickBooks?
After a receipt is read, QuickBooks looks for a bank feed transaction with a matching amount, date and card, and offers it as a match. You confirm or reject it in the For review tab. If there is no match yet, because the charge has not posted, the receipt sits there until the bank feed catches up, which is normally a day or three for a card charge.
When nothing matches at all, you can create a new expense straight from the receipt. That is the path for cash purchases and for anything paid on a card you have not connected. Watch for the duplicate this creates later: if the card does get connected afterwards, the same charge arrives through the feed and you now have the expense twice.
How do I upload receipts to QuickBooks Desktop?
QuickBooks Desktop Plus, Accountant and Enterprise have their own receipt management path, separate from anything in QuickBooks Online, and it uses a different forwarding address on its own domain. The steps and the limits are not the same, so instructions written for QuickBooks Online will not map cleanly onto Desktop. If you are on Desktop and evaluating any third-party receipt tool, confirm Desktop support explicitly before you buy rather than assuming it from a QuickBooks logo on a website.
Why is my QuickBooks receipt not uploading?
Most upload failures come down to five things, and you can work through them in about two minutes.

Do I still need to keep the paper receipt?
A legible digital image is acceptable documentary evidence, so you do not need to keep the paper once you have a good scan. What matters is which expenses need documentary evidence at all. Under the substantiation rules in 26 CFR 1.274-5, that means all lodging regardless of amount, plus any other expenditure of $75 or more. The widely repeated shorthand that receipts are only needed above $75 quietly drops the lodging half of that rule, and lodging is exactly where an examiner looks first.
How long to hold the images is a separate question from whether to keep the paper, and the answer depends on what the expense supports. What QuickBooks still leaves you to do
Uploading is solved and it is free. The work that is left over after the upload is where the hours actually go, and it is worth being clear-eyed about what that list contains.
QuickBooks reads the date, vendor, total and the last four digits of the card. It does not read the line items, so a single charge from a large online marketplace could be office supplies, software or equipment and nothing in the extracted data tells you which. It does not know your chart of accounts well enough to make that call, which is why the category is a decision you make in the review step every time. It has no idea what your expense policy says, so a $400 dinner and a $40 dinner both post without comment. It does not route anything for approval. And it will never tell you that the design tool on this receipt is the second design tool you are paying for, because a ledger records what happened rather than noticing patterns across vendors.
That is the case for putting something in front of the ledger rather than replacing it. One thing worth separating out: if you are a sole proprietor whose business income arrives as 1099s and platform payouts, the receipts you are filing here are the same records that support the deductions when the return is finally filed, so the categories you pick in QuickBooks are doing double duty. Get them right once in the books and you are not reconstructing them in April.
