Comparisons · Zoho Expense pricing
Zoho Expense pricing and cost per user for US teams
Zoho Expense pricing is among the lowest in the category. The free plan covers up to 3 users, Standard is $4 per user a month billed monthly or $3 billed yearly, and Premium is $6 monthly or $5 yearly. A larger program is quoted. Those figures come from zoho.com/us/expense/pricing, read on November 1, 2026. Only users who create expenses or expense reports are charged, so approvers who never submit cost nothing.

Works with your existing cards
Bank-grade · we never move your money
Two limits decide whether the low price holds. First, receipt scans are capped per user per month: 20 on the free plan, 200 on Standard and 1,000 on Premium. A salesperson with a dozen small receipts a week is fine on Standard, a field team scanning every card line is not. Second, active users beyond the licenses you bought are billed at that plan monthly rate for that month, so a Premium annual seat that costs $5 becomes $6 when you go over, not a second price list but a number worth knowing before a hiring spree.
At 10 users on Standard billed yearly the bill is $30 a month. At 25 users on Premium billed yearly it is $125, and at 50 users $250. That is hard to beat on price alone. Zoho wins when your books already live in Zoho Books or you want the cheapest compliant report workflow. It is weaker if your ledger is QuickBooks Online, Xero or NetSuite and you want every card line matched to a receipt and coded to your chart of accounts without people keying anything.
That is the gap Expenditure fills. It reads receipts and card statements from the cards and banks you already hold, matches each receipt to its transaction, codes it to your GL and sends a clean export to QuickBooks Online, Xero or NetSuite. Growth, which adds approvals and the NetSuite export, costs $21 per seat a month billed yearly from three seats. It costs more per seat than Zoho, so choose it when finance time spent chasing and coding receipts is the real cost. We never move or hold your money, we are bank-grade secure and we never sell or train on your financial data. This is software and insight, not financial, tax or accounting advice.

Why it works
What to check before you pick Zoho Expense on price
Count active users, not headcount
Zoho charges only users who create expenses or reports. List who actually submits last quarter before you multiply by the seat price.
Match the scan cap to real receipt volume
Standard allows 200 scans per user a month and Premium 1,000. A heavy card team can hit the cap, so check the busiest user, not the average.
Price the coding work, not just the seat
A cheap seat still costs finance hours if every line has to be matched and coded by hand into your ledger.
What it handles
A receipt in, a categorized line out, the waste flagged
Expenditure reads each receipt, categorizes it, checks it against your policy and rolls it into up-to-date spend, then surfaces the duplicate subscriptions and savings you are leaking.
- Reads every receipt and card statement line, including PDFs and photos
- Matches each receipt to the card transaction and flags what is missing
- Codes each expense to your QuickBooks Online, Xero or NetSuite chart of accounts
- Routes expenses for approval on Growth, up to three steps on Scale
- Works with the cards you already have and never moves or holds money

Why Expenditure
Receipts read, spend categorized, waste flagged
Not manual coding, not a stale spreadsheet. Expenditure reads each receipt, checks your policy, shows up-to-date spend, and flags the savings, all on the cards and banks you already have.
Read and categorized
Snap, forward or drop a receipt. The AI reads the vendor, amount, tax and line items, categorizes it and matches the card, in seconds.
Waste flagged
Duplicate and overlapping subscriptions, unused tools, price creep and out-of-policy spend, surfaced as expenses come in with the potential saving.
Secure and in your control
Bank-grade security, we never move or hold your money, and we never train on your data. Insights, not advice, your finance team decides.
