Xero expense management: expense tracking, expense claims and receipt capture that sync to Xero
Xero is a very good ledger, and Xero Expenses does capture receipts and route claims. What it does not do is decide, reliably and at volume, which of your accounts a charge really belongs to, enforce a spend policy across every card in the company, or tell you that two teams are quietly paying for the same software on different cards. That work still lands on a bookkeeper or a controller, usually in the last week of the month.

Receipts in, categorized spend out
Expenditure reads the vendor, amount, date and tax, categorizes the expense, checks it against your policy, and rolls it into a real-time picture of every dollar, then flags the waste.

Works with your existing cards
Bank-grade · we never move your money
Expenditure sits in front of Xero and handles it. Every receipt is read, including line items, and coded to the correct account in your Xero chart of accounts using AI rather than a keyword rule. Each expense is checked against your policy, routed for approval if it needs one, and only then synced into Xero as a clean, coded, approved record. Because the data is right before it lands, your Xero reconciliation becomes a review rather than a repair job. It runs on the cards and bank accounts you already have, so there is no card program to switch, and it never moves or holds your money.
The other thing it does is watch. Xero can tell you what you spent last month. It cannot tell you that a subscription renewed 14 percent higher than last year, or that Design and Marketing both bought the same stock photo tool. Expenditure tracks spend across cards, vendors and subscriptions in real time and flags duplicates, price creep and unused tools while you can still cancel them.
Compared
Xero Expenses and Expenditure, side by side
What Xero handles natively, and what a spend layer in front of it adds. Accurate as of July 2026.
| Capability | Xero Expenses | Expenditure with Xero |
|---|---|---|
| Receipt capture | Yes, snap or forward a receipt | Yes, plus line-item level reading |
| Coding to your chart of accounts | Manual selection or simple rules | AI codes each expense, you review |
| Expense claims and approvals | Yes, claim submission and approval | Yes, plus policy checked before approval |
| Company expense policy enforcement | Not a policy engine | Rules enforced on every card and claim |
| Real-time spend across all cards | Reporting after transactions post | Live view across cards and vendors |
| Duplicate subscription detection | No | Flags overlapping tools and price creep |
| Pricing | Paid add-on billed per active user on top of your Xero plan | Published per-seat subscription |
| Requires a new corporate card | No | No |
Xero publishes current US add-on rates on its own pricing page and they change, so confirm there before you budget. Expenditure is a layer in front of Xero, not a replacement for it.
Why it works
What your team gets with Xero expense management
Clean data into Xero
Receipts arrive read, coded to the right account and policy-checked, so the Xero reconciliation screen stops being a cleanup queue.
Coding that reads the receipt
AI reads the actual document and its line items instead of guessing from a truncated vendor string on the bank feed.
What the ledger cannot see
Live spend across every card and vendor, with duplicate tools and renewal increases flagged while you can still act.
What it handles
A receipt in, a categorized line out, the waste flagged
Expenditure reads each receipt, categorizes it, checks it against your policy and rolls it into real-time spend, then surfaces the duplicate subscriptions and savings you are leaking.
- Reads receipts and codes them to the right Xero account
- Checks every expense against your policy before it syncs
- Keeps Xero free of miscoded and duplicate expenses
- Handles employee claims on personal cards alongside company card spend
- Works with your existing cards and banks, no card switch

Why Expenditure
Receipts read, spend categorized, waste flagged
Not manual coding, not a stale spreadsheet. Expenditure reads each receipt, checks your policy, shows real-time spend, and flags the savings, all on the cards and banks you already have.
Read and categorized
Snap, forward or drop a receipt. The AI reads the vendor, amount, tax and line items, categorizes it and matches the card, in seconds.
Waste flagged
Duplicate and overlapping subscriptions, unused tools, price creep and out-of-policy spend, surfaced in real time with the potential saving.
Secure and in your control
Bank-grade security, we never move or hold your money, and we never train on your data. Insights, not advice, your finance team decides.
