Receipt reconciliation software to reconcile receipts against every card and bank statement line

Receipt reconciliation software pairs every receipt with the card or bank statement line it paid for, so you can see which charges are backed by a receipt, which are missing one, and which receipts never reached a statement. Expenditure does this on the cards and bank accounts you already have: import the statement as CSV, OFX or QFX and each line is matched to a receipt with the same amount dated within a few days of the posting date, from $12 per seat a month billed yearly.

Most teams still reconcile receipts the way it was done on paper. Open the statement, sort the receipts by date, tick each line that has one and email the cardholders about the rest. A ten-person team with a few company cards easily produces 150 to 300 lines a month, and the ticking is not the slow part. The mismatches are: a restaurant charge that posts two days after the receipt, a hotel stay that lands as three lines, the same software invoice uploaded by two different people, a refund that looks like a new purchase.

Here is exactly how Expenditure matches. A receipt and its statement line are treated as one purchase and booked once, never as two expenses. The amounts must be equal. The receipt date may sit up to five days before the posting date or up to two days after it, because cards post late and receipts are dated at the register. When both sides show the last four digits of a card, they have to be the same card. Before anything is written, the import preview shows how many lines will be added, how many match a receipt you already filed, how many are already booked and how many were left out, so nothing goes into the books twice. A receipt that arrives later, by phone photo, upload or an email forward to your company receipt address, finds its statement line on its own.

What is left after the match is the part you actually need: the statement lines that still have no receipt. They stay in the books as statement expenses, marked that way on the expense itself, and the export carries a Source column that reads "statement" or "statement, receipt attached" on every line. You and your accountant see the gaps before the month closes instead of during an audit, and the cardholder gets one specific question ("the $86.40 charge on the 14th") instead of a request to find everything. Every matched expense is read at line level, coded to your QuickBooks Online, Xero or NetSuite chart of accounts and checked for duplicates.

We priced the same job on every tool that publishes a price: ten people, a few cards, books in QuickBooks Online or Xero. QuickBooks Online already suggests matches between uploaded receipts and bank transactions in its Receipts tab, so the matching is included in the plan you pay for (Simple Start lists at $38 a month for one user and Plus at $140 for five). Xero includes Hubdoc capture in its current US plans, and Hubdoc publishes receipts into Xero where they match bank feed lines. Expensify Collect matches SmartScanned receipts to imported card feeds at $5 per member a month, $600 a year for ten people. Ramp Free collects and matches receipts at $0, but only for spend on Ramp cards. SparkReceipt Elite is $129 a year for one user plus $12 a year for each extra user, about $237 for ten, with bank statement import. Expenditure is $1,440 a year for ten seats on Starter or $2,520 on Growth, which adds policy checks and approval routing.

So why would anyone pay us more? If one person keeps one QuickBooks or Xero file and reconciles a single card, the built-in matching is good enough and you should use it. The cost shows up when several people spend on several cards and someone has to code, check and chase all of it. In Expenditure the match happens on import, the coding happens when the receipt is read, duplicates are flagged before they reach the ledger, and the unmatched list is the to-do list for the close.

The honest limits. We do not issue cards, pay bills or move money, and we do not hold a live connection to your bank: transactions come in from the statement file your card issuer or bank already lets you download. Expenditure is software and insight, not accounting or tax advice, and your accountant still signs off on the books. Receipts and statements are encrypted, access is controlled per member, and your financial data is never sold or used to train AI models.

Why it works

What to check before you buy receipt reconciliation software

Matched on import

Each statement line is paired with the receipt for the same purchase as the file comes in, so reconciliation runs all month instead of in the last two days of it.

Missing receipts on one list

Lines with no receipt stay visible and labeled, so you chase a short list of specific charges rather than everyone for everything.

Never booked twice

A receipt and its card line are one expense. Lines already booked and lines that match a filed receipt are never added again.

What it handles

A receipt in, a categorized line out, the waste flagged

Expenditure reads each receipt, categorizes it, checks it against your policy and rolls it into up-to-date spend, then surfaces the duplicate subscriptions and savings you are leaking.

  • Imports card and bank statements as CSV, OFX or QFX from any issuer
  • Matches each line to the receipt with the same amount, dated 5 days before to 2 days after posting
  • Requires the same card when both the receipt and the line show the last four digits
  • Shows what will be added, matched, already booked or left out before anything is written
  • Attaches a late receipt to its statement line automatically when it arrives
  • Labels every exported line as statement only or statement with receipt attached
  • Codes each receipt to your QuickBooks Online, Xero or NetSuite chart of accounts
  • Flags a likely duplicate receipt before it reaches the books

Why Expenditure

Receipts read, spend categorized, waste flagged

Not manual coding, not a stale spreadsheet. Expenditure reads each receipt, checks your policy, shows up-to-date spend, and flags the savings, all on the cards and banks you already have.

Read and categorized

Snap, forward or drop a receipt. The AI reads the vendor, amount, tax and line items, categorizes it and matches the card, in seconds.

Waste flagged

Duplicate and overlapping subscriptions, unused tools, price creep and out-of-policy spend, surfaced as expenses come in with the potential saving.

Secure and in your control

Bank-grade security, we never move or hold your money, and we never train on your data. Insights, not advice, your finance team decides.

Good questions

Questions about receipt reconciliation software

Receipt reconciliation is checking every card or bank statement line against the receipt that supports it, so each charge is either backed by a receipt or flagged as missing one. For a business it usually also means coding each charge to the right expense account and confirming it was a business purchase before the month is closed.
Get the statement for the period and all receipts for the card, then match each statement line to a receipt with the same amount and a nearby date, and list the lines left over. In Expenditure you import the statement as CSV, OFX or QFX and the matching runs on import; what remains is the list of charges that still need a receipt.
If one person keeps the books in QuickBooks Online or Xero, start with the receipt matching those already include. If several people spend on several cards and someone codes, approves and chases the receipts, Expenditure fits better, from $1,440 a year for ten seats on Starter, because matching, coding and duplicate checks happen in one place.
Yes. Expenditure matches a receipt to a statement line when the amounts are equal, the receipt is dated up to five days before or two days after the posting date, and the card matches when both show the last four digits. Expensify and Ramp do it for their card feeds, and QuickBooks Online suggests matches you confirm.
They stay in the books as statement expenses and are labeled that way, both on the expense and in the export Source column. That gives you a short list of specific charges to ask cardholders about, and when a receipt arrives later it attaches to its line automatically.
No. Expenditure works from the statement file your bank or card issuer already lets you download, in CSV, OFX or QFX. There is no live bank connection and no new card to apply for, and Expenditure never moves or holds money.
Yes. After matching, every expense is coded to your Xero or QuickBooks Online chart of accounts and exported as an import-ready file, with NetSuite journal entries on Growth and Scale. Statement lines already booked are recognized on the next import, so a re-uploaded statement does not create duplicates.
For ten people at list prices, read October 12, 2026: SparkReceipt Elite about $237 a year, Expensify Collect $600 a year, Ramp Free $0 on Ramp cards only, QuickBooks Online and Xero include matching in the accounting plan, and Expenditure $1,440 a year on Starter or $2,520 on Growth with approvals.
No. Bank reconciliation checks that your books agree with the bank balance. Receipt reconciliation checks that each charge behind that balance has a receipt and the right expense account. Most teams do receipt reconciliation first, then the bank reconciliation in their accounting software.
