Comparisons · Melio vs Bill.com pricing
Melio vs Bill.com pricing and cost per user for US small business accounts payable
Melio vs Bill.com pricing is a question of how many people touch your payables and how many payments you send. Melio charges a monthly plan: Go is $0, Core $25, Boost $55 and Unlimited $80 (or $20, $44 and $64 billed annually), each with a set number of free ACH payments and $10 a month per extra user on Core and Boost. BILL charges per user: Essentials $49, Team $65 and Corporate $89 a month, plus $0.59 per ACH payment and $1.99 per mailed check. For a team of two or more, Melio is cheaper in nearly every row below.

Bank-grade · we never move your money
Those numbers come from melio.com/pricing and bill.com/pricing, read on October 29, 2026. The gap is widest on the seat line. Take five AP users. On BILL Team, which is the first plan with automatic two-way QuickBooks Online and Xero sync, that is $325 a month. On Melio Unlimited it is $64 a month billed annually, with unlimited seats and unlimited free ACH payments. Add 40 ACH payments and 10 mailed checks and the monthly totals are about $369 on BILL Team and $79 on Melio Unlimited.
Payment fees narrow the gap less than people expect. Melio gives you 5, 20, 50 or unlimited free ACH payments a month depending on plan, then charges $0.50 each. Its mailed check is $1.50. BILL charges $0.59 for ACH and $1.99 for a check from the first payment, with virtual card payments free. Melio also lists a 2.9% fee when you pay a vendor by credit card. BILL charges 2.9% for card-funded payments too, and sends international USD wires at $19.99.
BILL wins where depth matters. It has a Spend and Expense plan at $0 per user, corporate cards with credit lines, Accountant console access at $49 a month, 1099 e-filing at $2.99 per form, and a custom-priced Enterprise plan with NetSuite, Sage Intacct and Microsoft Dynamics sync and three-way PO matching. Melio syncs with QuickBooks Online and Xero on Core and above, adds QuickBooks Desktop on Boost, and lists NetSuite among its integrations. If you need purchase orders or run several entities, price BILL first. If you pay vendors by ACH and check from QuickBooks Online and just need approvals and a clean sync, Melio is the cheaper tool.
Neither product reads your documents. Both start the work at the payment, after someone has keyed the invoice. If the slow part for your team is reading each supplier invoice and receipt, coding it to the right GL account, routing it for approval and exporting a clean bill to QuickBooks Online, Xero or NetSuite, Expenditure does that and leaves the payment with Melio, BILL or your bank. Growth, which adds approvals and the NetSuite export, costs $21 per seat a month billed yearly from three seats, so $63 a month for a three-person team. We never move or hold your money, we are bank-grade secure and we never sell or train on your financial data. This is software and insight, not financial, tax or accounting advice.

Melio Core includes one user and charges $8 a month per extra user billed annually ($10 monthly). Melio ACH is $0.50 after the free allowance and BILL ACH is $0.59 from the first payment. Credit card payments to vendors carry a separate percentage fee at both. Expenditure prices are per seat billed yearly; monthly billing is $24, $42, $66 and $98 per seat. Expenditure does not pay suppliers: you keep paying from your bank or accounting system.
Why it works
What to settle before you pick Melio or BILL
Count approvers as users on BILL
BILL charges every seat, and the owner or CFO who only approves still counts on Essentials and Team. On Melio Unlimited that person costs nothing extra.
Count your ACH and check volume
Melio free ACH allowances only help if you send that many. At under 5 payments a month Go at $0 can be enough. At 50 or more, Unlimited stops the meter.
Price the ledger sync before the seat
QuickBooks Online and Xero sync is cheap on both. NetSuite is where BILL jumps to a custom-priced Enterprise quote and Melio sends you to its top plan.
What it handles
A receipt in, a categorized line out, the waste flagged
Expenditure reads each receipt, categorizes it, checks it against your policy and rolls it into up-to-date spend, then surfaces the duplicate subscriptions and savings you are leaking.
- Reads every supplier invoice and receipt at line level, including PDFs and photos
- Codes each bill to your QuickBooks Online, Xero or NetSuite chart of accounts
- Routes bills and expenses for approval on Growth, up to three steps on Scale
- Flags duplicate invoices before they reach your books
- Exports clean, import-ready bills while payment stays with Melio, BILL or your bank

Why Expenditure
Receipts read, spend categorized, waste flagged
Not manual coding, not a stale spreadsheet. Expenditure reads each receipt, checks your policy, shows up-to-date spend, and flags the savings, all on the cards and banks you already have.
Read and categorized
Snap, forward or drop a receipt. The AI reads the vendor, amount, tax and line items, categorizes it and matches the card, in seconds.
Waste flagged
Duplicate and overlapping subscriptions, unused tools, price creep and out-of-policy spend, surfaced as expenses come in with the potential saving.
Secure and in your control
Bank-grade security, we never move or hold your money, and we never train on your data. Insights, not advice, your finance team decides.
