Neat receipt scanner alternative and Neat Receipts software replacement for business teams
The best Neat Receipts alternative depends on who handles your receipts. If one owner files receipts for taxes, Neat itself at $200 a year is still reasonable. If several employees submit receipts that someone has to code, match to card lines and approve, Expenditure fits better: it reads each receipt, codes it to your QuickBooks Online, Xero or NetSuite accounts and flags duplicates, from $12 per seat a month billed yearly.

Bank-grade · we never move your money
Most people searching for a Neat alternative own an old NeatDesk or NeatReceipts scanner. Neat stopped making scanners in July 2017 and retired its old desktop software in March 2016, and its help center says the scanners are out of warranty and that drivers will be offered "as long as possible". The retired desktop software needs no subscription, but it gets no support either, so every operating system update is a small gamble. Neat's answer is its cloud product: $200 a year for Neat, $50 more for VIP Service and $150 more for Automated Insights, read on neat.com/pricing on September 30, 2026.
Neat the cloud product is a capable document organizer. It connects bank and credit card accounts, suggests which transaction a receipt belongs to (you confirm each match yourself), builds expense reports, tracks mileage and sends expense data to QuickBooks Online. Where it runs out is the team. One Neat account can be shared with up to four other users, every one of them gets full access to every folder, and Neat's own help center says you cannot adjust their permissions. There is no approval step and no policy check, so a manager signing off on a $600 dinner happens outside the tool.
That is the gap we built Expenditure for. Keep your scanner if you like it: scan to PDF or JPEG with the Neat driver, NAPS2 on Windows or Image Capture on a Mac, then upload up to ten files at a time or forward them to your company receipt inbox. Employees photograph receipts on their phones instead. Each receipt is read at line level, coded to your chart of accounts and checked against receipts already in the books, so the same lunch submitted twice is flagged before close. Import the card or bank statement as CSV, OFX or QFX and every line is matched to the receipt you already have. On Growth, receipts are checked against your expense policy and routed for approval by amount, vendor or GL account, and NetSuite gets a journal entry file.
The honest trade is this. Neat streams bank feeds live, and we do not: transactions reach us through statement files you import. Neat is also cheaper for a single person, and so are Shoeboxed Starter and Expensify Collect. Our three seat minimum puts the smallest Expenditure plan at $432 a year. We are worth more only when receipts come from a team and the review work is the expensive part.
Expenditure never moves or holds your money, never issues cards, never sells your data and never trains any model on it. It is software, not tax or accounting advice.

Read at neat.com/pricing, support.neat.com, shoeboxed.com/pricing and use.expensify.com (Collect at $5 per member applies to workspaces created on or after April 1, 2025). "Not stated" and "Not on the pricing page" mean the vendor does not list it there, not that it cannot be done. Expenditure figures use yearly billing: 5 seats x $12 x 12 = $720, 5 x $21 x 12 = $1,260.
Why it works
Three things to settle before you replace Neat
Who touches the receipts
One owner filing for taxes is a document job, and Neat or Shoeboxed covers it. Five people submitting receipts that a bookkeeper codes and a manager approves is a workflow job.
What happens to the scanner
Neat scanners still scan. Point the driver, NAPS2 or Image Capture at a folder, save PDFs, and upload them. You do not need new hardware to leave the Neat software.
Live feed or statement file
Neat connects to banks live. Expenditure matches receipts against the CSV, OFX or QFX statement you import each month, which many controllers prefer at close.
What it handles
A receipt in, a categorized line out, the waste flagged
Expenditure reads each receipt, categorizes it, checks it against your policy and rolls it into real-time spend, then surfaces the duplicate subscriptions and savings you are leaking.
- Reads scanned PDFs, JPEG, PNG, HEIC and phone photos at line level, up to ten files per upload
- Takes receipts forwarded to your company receipt inbox, including mail forwarded as an attachment
- Codes every receipt to your QuickBooks Online, Xero or NetSuite chart of accounts
- Flags a receipt that looks like one already in the books before it is booked twice
- Matches CSV, OFX or QFX card and bank statement lines to receipts you already have
- Gives each team member their own access instead of one shared login
- Checks spend against policy and routes approvals by amount, vendor or GL account on Growth
- Exports QuickBooks and Xero files on every plan and NetSuite journal entries on Growth

Why Expenditure
Receipts read, spend categorized, waste flagged
Not manual coding, not a stale spreadsheet. Expenditure reads each receipt, checks your policy, shows real-time spend, and flags the savings, all on the cards and banks you already have.
Read and categorized
Snap, forward or drop a receipt. The AI reads the vendor, amount, tax and line items, categorizes it and matches the card, in seconds.
Waste flagged
Duplicate and overlapping subscriptions, unused tools, price creep and out-of-policy spend, surfaced in real time with the potential saving.
Secure and in your control
Bank-grade security, we never move or hold your money, and we never train on your data. Insights, not advice, your finance team decides.
