Accounts payable software is the system a business uses to receive supplier invoices, pull the data off them, code each one to the right general ledger account, route it for approval and hand it to whatever settles it. That is the whole job. The confusion in this category comes from the fact that five very different kinds of product all call themselves accounts payable software, and most bad purchases are the result of comparing one architecture against another without noticing they are not the same thing.

Here are the five, because naming them makes the shortlist obvious. Your accounting system already has AP built in: QuickBooks, Xero, Sage Intacct and NetSuite all hold bills and, in QuickBooks Online, pay them. Standalone AP automation such as Stampli, AvidXchange or Tipalti bolts a capture and approval layer onto that ledger. Payment network platforms such as BILL and Melio own the payment rail as well as the workflow. Spend platforms such as Ramp and Brex added bill pay to a corporate card business. And procure to pay suites such as Coupa and SAP Ariba wrap purchasing, contracts and payables together for large enterprises. A tool from any one of those groups can look identical on a feature grid and cost ten times more or less than the one next to it.
The pricing shapes differ as much as the products, and the part that decides your annual cost is almost never on the pricing page. Per user pricing punishes you for adding approvers, which is exactly the group that grows as a company gets bigger. Per payment fees only matter once you know your payment mix, because an ACH at 59 cents and a mailed check at $1.99 are not comparable to a card payment at 2.9 percent of invoice value. And several serious vendors in this category publish no price at all, so any comparison table that shows a confident per seat figure for them is quoting somebody's guess.
One fact worth knowing before you shop at the small end, because it changes the math for a lot of US businesses: according to Intuit's own documentation, QuickBooks Bill Pay Basic is included with every QuickBooks Online subscription at no additional software cost, standard ACH payments carry no fee, and mailed checks cost $1.50 each. Intuit also states that from August 1, 2026, Bill Pay Elite, which it values at $540 a year, is included in QuickBooks Online Advanced. If your volume is thirty bills a month and your only complaint is that paying them is manual, you may already own the payments half of what you were about to buy. What you would still be missing is the reading, the coding and the controls.
That gap is where Expenditure sits. It reads every supplier invoice and receipt with line level extraction, proposes a general ledger account based on the vendor, the line descriptions and how you coded that vendor before, checks the invoice against everything already posted so a duplicate cannot slip through, routes approval to the person who owns the budget, and posts the finished bill to QuickBooks, Xero or NetSuite with the original document attached. It works with the cards, banks and payment rails you already use. It never moves or holds your money, never sells or trains on your financial data, and it is software and insight rather than accounting, tax or legal advice. The pattern worth noticing: the row that fixes your problem depends entirely on whether your bottleneck is reading invoices, approving them, or paying them. Almost every unhappy AP software buyer bought a product that solved a different one of those three than the one that was actually hurting.
