QuickBooks expense tracking: expense management and receipt capture that syncs to QuickBooks

QuickBooks is very good at being the ledger. It is not designed to chase receipts out of people, decide which of your GL accounts a charge really belongs to, or tell you that two teams are paying for the same software. QuickBooks Online does include receipt capture, so you can snap or forward a receipt and have it read and matched to a transaction, but the work around it still lands on someone: reviewing what the match got wrong, categorizing the expenses that do not obviously map to an account, enforcing a spend policy the ledger knows nothing about, and noticing waste that never shows up as an error.

Receipts in, categorized spend out

Expenditure reads the vendor, amount, date and tax, categorizes the expense, checks it against your policy, and rolls it into a real-time picture of every dollar, then flags the waste.

Works with your existing cards

Bank-grade · we never move your money

Expenditure sits in front of QuickBooks and does that work. It reads every receipt, categorizes the expense to the right GL account with AI rather than a keyword rule, checks it against your expense policy, and only then syncs a clean, coded, approved record into QuickBooks. What lands in your books is already right, so the month-end review stops being a cleanup job. It also does what a ledger cannot: it watches spend across cards, vendors and subscriptions in real time and flags duplicate tools and price creep. It works on the cards and banks you already have, and it never moves or holds your money.

Why it works

What your team gets with quickbooks expense management

Clean data into QuickBooks

Receipts are read, coded to the right GL account and policy-checked before they sync, so your books do not need a cleanup pass.

Categorization that learns

AI categorization reads the actual receipt, including line items, instead of guessing from a vendor name on the bank feed.

What the ledger cannot see

Real-time spend across cards, vendors and subscriptions, with duplicate tools and price creep flagged as they happen.

What it handles

A receipt in, a categorized line out, the waste flagged

Expenditure reads each receipt, categorizes it, checks it against your policy and rolls it into real-time spend, then surfaces the duplicate subscriptions and savings you are leaking.

  • Reads receipts and codes them to the right QuickBooks account
  • Checks each expense against your policy before it syncs
  • Keeps QuickBooks free of miscoded and duplicate expenses
  • Flags duplicate subscriptions and price creep QuickBooks will not
  • Works with your existing cards and banks, no card switch

Why Expenditure

Receipts read, spend categorized, waste flagged

Not manual coding, not a stale spreadsheet. Expenditure reads each receipt, checks your policy, shows real-time spend, and flags the savings, all on the cards and banks you already have.

Read and categorized

Snap, forward or drop a receipt. The AI reads the vendor, amount, tax and line items, categorizes it and matches the card, in seconds.

Waste flagged

Duplicate and overlapping subscriptions, unused tools, price creep and out-of-policy spend, surfaced in real time with the potential saving.

Secure and in your control

Bank-grade security, we never move or hold your money, and we never train on your data. Insights, not advice, your finance team decides.

Good questions

Questions about quickbooks expense management

QuickBooks records expenses and QuickBooks Online includes receipt capture, which reads a snapped or forwarded receipt and tries to match it to a transaction. It is a ledger, though, not a spend platform: it does not enforce an expense policy, route approvals against your rules, or proactively flag duplicate subscriptions and price creep. Teams that need those add a tool in front of it.
You connect your QuickBooks account once. From then on, every receipt Expenditure reads is categorized to the right GL account, checked against your policy and, once approved, synced into QuickBooks as a clean coded record. Because the data is correct before it lands, your close is a review rather than a repair job.
Yes. Expenditure is not an accounting system and does not replace your ledger. It is the layer that captures receipts, categorizes and policy-checks spend, and finds waste, then feeds clean data into QuickBooks, which remains your book of record for reporting, reconciliation and tax.
Yes. An employee snaps or forwards the receipt, Expenditure reads it, codes it, checks it against your reimbursement policy and routes it for approval, then syncs the approved claim so it can be reimbursed and recorded correctly in QuickBooks alongside company card spend.
Expenditure connects to QuickBooks Online. If you are on Desktop, talk to us about your setup before you buy, because the sync path differs. We would rather tell you upfront than have you find out after you have paid.
