Dext vs Expensify pricing and Expensify vs Dext cost for bookkeepers and small business teams
Dext vs Expensify is a choice between two different jobs. Dext is pre-accounting capture: it reads receipts, bills and supplier documents and publishes them to QuickBooks Online, Xero, Sage and other ledgers, and its business plan costs $302.50 a year for 5 users and 250 documents a month. Expensify is employee expense reporting: people snap receipts, submit reports and get reimbursed, and its Collect plan costs $5 per member a month with no annual commitment. For five people, that is about $300 a year either way. The difference is what you get for it.

Bank-grade · we never move your money
Both prices were read on the vendors' own pages on October 1, 2026. One detail trips up a lot of comparison articles. The $25.21 a month that Dext shows on its US business pricing page is the annual price divided by twelve ($302.50 billed once a year). Dext says annual billing is up to 20 percent cheaper than paying month to month, so a monthly Dext plan costs more than the headline figure. The users and the document allowance both sit on sliders, so a bigger team or a busier month moves the price.
Expensify bills differently. Collect charges $5 for every unique member in a month, flat, and includes SmartScan receipt capture, approvals, reimbursements and QuickBooks Online and Xero sync. When you need NetSuite, Sage Intacct, multi-level approvals or audit logs, you move to Control, which lists at $18 per member a month on an annual subscription and drops to $9 if your team spends enough on the Expensify Card. Pay-per-use Control is $36 per active member, or $18 with the card.
So the honest short answer goes like this. A bookkeeper or accounting practice that processes supplier bills and client paperwork usually wants Dext. A company whose employees spend their own money and need it paid back usually wants Expensify. A finance lead whose real problem is coding, duplicate receipts and approvals, after the receipt is captured, is the buyer Expenditure was built for.
Expenditure reads every receipt or invoice at line level, codes it to your QuickBooks Online, Xero or NetSuite chart of accounts, flags a receipt that looks like one already booked, and on Growth checks it against your policy and routes approvals by amount, vendor or GL account. It costs $12, $21 or $33 per seat a month billed yearly, from three seats, with 200 receipts per seat a month included. It never moves or holds your money, which also means it does not pay employee reimbursements the way Expensify does.
Expenditure never sells your data and never trains any model on it. It is software, not tax or accounting advice.

Dext's practice plans for accounting firms are priced separately and are not shown on its business page. Expensify's Collect price applies to workspaces created on or after April 1, 2025. Card discounts depend on how much the team spends on the Expensify Card, so treat the lower Control figure as a floor, not a quote.
Why it works
Three questions that decide Dext or Expensify
Who touches the paper
If a bookkeeper processes supplier bills, statements and client receipts, Dext's document pipeline is the right shape. If employees spend and wait to be paid back, Expensify's report and reimbursement flow is.
What the bill counts
Dext counts documents and users together, so a busy quarter moves the slider. Expensify counts members. Expenditure counts seats and includes 200 receipts per seat a month, so a five seat team has 1,000 a month to work with.
What happens after capture
Capture is cheap everywhere now. The hours go into coding the expense to the right account, catching the duplicate and getting an approval. That is the part to price, and the part we do.
What it handles
A receipt in, a categorized line out, the waste flagged
Expenditure reads each receipt, categorizes it, checks it against your policy and rolls it into up-to-date spend, then surfaces the duplicate subscriptions and savings you are leaking.
- Reads receipts, bills and invoices at line level from PDF, JPEG, PNG, HEIC or a phone photo
- Codes every expense to your QuickBooks Online, Xero or NetSuite chart of accounts
- Flags a receipt that looks like one already in the books before it is booked twice
- Matches CSV, OFX or QFX card and bank statement lines to the receipts you have
- Takes receipts forwarded to your company receipt inbox
- Checks spend against policy and routes approvals by amount, vendor or GL account on Growth
- Finds duplicate subscriptions, unused seats and vendor price increases on every plan
- Prices by seat, so receipt volume up to 200 per seat a month never changes the bill

Why Expenditure
Receipts read, spend categorized, waste flagged
Not manual coding, not a stale spreadsheet. Expenditure reads each receipt, checks your policy, shows up-to-date spend, and flags the savings, all on the cards and banks you already have.
Read and categorized
Snap, forward or drop a receipt. The AI reads the vendor, amount, tax and line items, categorizes it and matches the card, in seconds.
Waste flagged
Duplicate and overlapping subscriptions, unused tools, price creep and out-of-policy spend, surfaced as expenses come in with the potential saving.
Secure and in your control
Bank-grade security, we never move or hold your money, and we never train on your data. Insights, not advice, your finance team decides.
