Ramp vs QuickBooks: QuickBooks vs Ramp pricing, expense features and whether you need both

Ramp vs QuickBooks is not really a choice between two of the same thing. QuickBooks Online is your accounting system: the general ledger, invoicing, bank feeds, reports and taxes, from $38 to $340 a month. Ramp is a corporate card and spend platform that sits on top of an accounting system and syncs into it, with a free plan and a Plus plan at $15 per user per month plus a platform fee. Most US companies that use Ramp still pay for QuickBooks. The real question is whether QuickBooks alone handles your expenses well enough, or whether you add Ramp or another expense tool beside it.

Here is the short answer. If one or two people spend money and the owner reconciles the card feed, QuickBooks alone is enough: receipt capture is on every QuickBooks Online plan, and Intuit's own pricing page lists free standard ACH bill pay from Simple Start. Once employees need to submit their own expenses, get them approved and have them coded correctly, QuickBooks starts to cost more than it looks. Intuit's support answers point teams that want employees to upload and submit receipts as expense claims to QuickBooks Online Advanced, which is $340 a month against $140 for Plus.

That upgrade is where Ramp usually enters the conversation. Ramp's free plan includes unlimited corporate cards, automatic receipt collection and matching, expense submission by text message or Slack, bill pay and a QuickBooks Online sync, all at $0 per user. It is free because Ramp earns interchange when your team spends on the Ramp card, so the price of the free plan is moving your company card program to Ramp. To qualify, Ramp's help center asks for a registered US corporation, LLC or LP with an EIN and at least $25,000 in a US business bank account. Sole proprietors and very new companies with little cash will not get in.

Put numbers on it. Take a ten-person US company on QuickBooks Online Plus where every employee files expenses and two managers approve them. QuickBooks Plus alone is $1,680 a year but only covers five users and has no employee expense claims. Moving to QuickBooks Advanced for claims, 25 users and Bill Pay Elite approvals is $4,080 a year, an extra $2,400. Keeping Plus and adding Ramp Free is $1,680 a year in software, if you qualify and switch cards. Keeping Plus and adding Ramp Plus for NetSuite-style controls is $1,680 plus about $1,440 a year for ten users billed annually, plus a platform fee Ramp does not print.

Ramp wins on price when you are happy to carry its card. The free plan does more expense work than any QuickBooks Online plan, and its QuickBooks Online and Xero integrations are included at $0. Ramp also runs bill pay, 1099 filing at $0.65 per IRS form and travel booking. What Ramp does not do is replace QuickBooks. You still need a ledger for invoicing, payroll, sales tax and your financial statements, and Ramp pushes its coded transactions into that ledger rather than being one.

QuickBooks wins when the business is small and the spend is simple. One owner, one or two cards, a bookkeeper who matches receipts to the bank feed once a month: adding a card platform adds a login, a second set of categories and a sync to maintain. QuickBooks also wins when you would rather not move banking or cards at all, because QuickBooks bill pay runs from the bank account you already have, with a $1.50 check fee and a $10 faster ACH option on Intuit's bill pay page.

There is a third setup that neither vendor pitches. You keep QuickBooks as the ledger and keep the Visa and Mastercard cards and bank you already have, and add an expense layer that does the receipt, coding, policy and approval work before anything reaches QuickBooks. That is what Expenditure does. We read each receipt and invoice at line level, code it to the right QuickBooks account, check it against your expense policy, route it for approval and sync a clean record into QuickBooks Online. We also watch spend across every card, vendor and subscription and flag duplicate tools, unused seats and price creep.

Expenditure costs $20, $35 or $55 per seat per month billed yearly, from three seats, with no card switch, no platform fee and no banking relationship. For the same ten people on Starter that is $2,400 a year, and $4,200 on Growth with approvals, policy checks and budgets. That is more than Ramp Free, and we say so plainly. You pay for it when switching card programs is not on the table, or when you want the coding done right before it lands in the ledger.
