Amex expense management: American Express expense management, expense reports and receipt matching on your Amex cards

Amex expense management comes in four shapes, and which one you can use depends on the Amex card your company carries. Small business card members get the Amex Business App and Connect to QuickBooks at no extra cost, which sends card transactions and receipt photos to QuickBooks Online every day. Companies on the Corporate CashBack Program get the free Amex Expense app, built on the Center software American Express bought in April 2025. Everyone else pairs their Amex cards with a third-party expense tool such as SAP Concur, Emburse, Sage Expense Management or Expenditure.

Here is the short answer. If one owner spends on an Amex Business Gold or Business Platinum card and a bookkeeper closes the books, Connect to QuickBooks is enough and costs nothing. Once employees need to submit expenses, get them approved and have them coded to the right account, you need an expense layer, and the free Amex options only cover that if you are on Corporate Green cards earning Corporate CashBack.

That eligibility line is the thing most Amex expense management guides skip. The Amex Expense app lets employees capture receipts and submit expenses and lets approvers review them from a phone, and the app itself is free. But its App Store listing limits it to eligible customers with the American Express Corporate CashBack Program in the United States, and American Express lists each Corporate Green Card earning Corporate CashBack at an annual membership fee of up to $75 plus an annual program fee of $90. For eight cardholders that is up to $1,320 a year in card fees, offset by 1% cash back on eligible purchases, so you break even at roughly $132,000 of card spend a year.

The partner route is how larger Amex customers run expense reports. American Express says every client with Commercial Payment products is eligible for SAP Concur solutions, but the fee is set by the Concur sales team, and Concur's public page starts Expense at $7 per report on Base and $11 per report on Plus. Emburse Spend connects Amex corporate card programs and issues Amex virtual cards, at $8 per user a month on Basic or $12 on Plus, billed for at least 15 users. Sage Expense Management, formerly Fyle, lets Amex U.S. business card members create unlimited Amex virtual cards at no fee and starts at $11.99 per active user a month.

Put numbers on it for an eight-person US team where everyone files expenses on Amex cards. Connect to QuickBooks is $0 but has no approvals or policy checks. Amex Expense is $0 for the app plus up to $1,320 in Corporate Green fees. SAP Concur Base is from $672 a year at one report per person per month. Sage Expense Management is about $1,151 a year. Emburse Spend is $1,440 a year because of its 15-user minimum. Expenditure is $1,920 on Starter and $3,360 on Growth with approvals and policy checks, which makes it the most expensive line in that table, and we say so plainly.

Where Expenditure earns that difference is the work after the receipt is captured. We read each receipt and invoice at line level rather than just the total, code every line to the right QuickBooks, Xero or NetSuite account, check it against your policy, route it for approval and flag duplicate subscriptions, unused seats and vendor price increases across all your spend. It works with any Amex card, business or corporate, and with the Visa and Mastercard cards and bank accounts you already carry, because you import the CSV or Quicken download Amex gives every card member for recent activity and the past six billing statements.

Nothing about your Amex program changes. You keep your cards, your Membership Rewards or cash back, your billing cycle and your credit line. Expenditure never moves or holds your money: it reads and codes what you spend and leaves the funds in your own accounts. Plans are $20, $35 or $55 per seat per month billed yearly, from three seats. It is software and insight, not financial, tax or accounting advice.

Yearly totals model an eight-person US team where everyone files expenses on Amex cards. Concur assumes one report per person per month at the $7 Base starting price (96 reports). Yes, in three forms. Small business card members get the Amex Business App with Connect to QuickBooks, which sends transactions and receipt images to QuickBooks Online daily. Companies on the Corporate CashBack Program get the free Amex Expense app for receipts, submissions and approvals. Other Amex clients connect partners such as SAP Concur or Emburse.
The app itself is free, with no in-app purchases listed. It is limited to eligible US companies enrolled in the American Express Corporate CashBack Program, which runs on Corporate Green Cards carrying an annual membership fee of up to $75 and an annual program fee of $90 per card. So the software is free, the card program is not.
Download your Amex transactions as a CSV or to Quicken or QuickBooks from your online account, which covers recent activity and the past six billing statements, then import them into an expense tool. Expenditure reads that file, matches each charge to its receipt, codes it to the right account and builds the report for approval.
Yes. Amex small business card members can enroll in Connect to QuickBooks from their online account. Card transactions and receipt images uploaded in the Amex Business App are then sent to QuickBooks Online every day, and you can label each transaction with a QuickBooks category from your phone. It works with QuickBooks Online, not QuickBooks Desktop.
American Express completed its acquisition of Center, a Bellevue, Washington expense management company, on April 16, 2025. Amex said it would integrate Center with its corporate and small business cards. The Amex Expense app for Corporate CashBack Program customers is the visible result so far, and Center no longer publishes a standalone price.
Not a full one. The Amex Business App captures receipts and syncs categorized transactions to QuickBooks Online, but it has no employee submission, approval or policy workflow. The Amex Expense app adds those, but only for Corporate CashBack Program customers. Most small businesses with Amex cards add a separate expense tool once employees start spending.
For large companies already talking to Amex, SAP Concur and Emburse Enterprise are the established partners. For mid-sized teams, Emburse Spend and Sage Expense Management connect Amex programs and issue Amex virtual cards. If you want line-level GL coding and waste detection across Amex and non-Amex spend, Expenditure fits without changing your card program.
American Express says the fee for SAP Concur programs is set by the SAP Concur sales team, so there is no Amex discount printed anywhere. Concur's own pricing page starts Concur Expense at $7 per report on Base and $11 per report on Plus, both with unlimited users, and quotes Premium, which adds Concur Travel, on request.
Yes. Expense tools that read your existing card data, including Expenditure, Sage Expense Management and SAP Concur, leave your Amex card, Membership Rewards or cash back and billing cycle untouched. Only platforms built around their own card, such as Ramp or Brex, fund their free plans by moving card spend off Amex.
ReceiptMatch was the name of the 2014 Amex and Intuit feature for matching receipt photos to card charges in QuickBooks. Today the same job sits in the Amex Business App and Connect to QuickBooks: you snap a receipt against a transaction, and the image and category flow to QuickBooks Online each day.
For Connect to QuickBooks, American Express says uploaded receipts are stored until the earlier of seven years from the end of the calendar year of upload or the date your online account is closed. IRS record rules can run longer for some records, so keep your own copy in your ledger or expense system.
