Credit card expense management software and corporate credit card expense management for the business cards you already have

Credit card expense management software takes the charges on your business cards, pairs each one with its receipt, codes it to the right account and gets it approved before it reaches your books. The question most US buyers skip is whether the tool works with the cards you already carry or wants you to move your spend onto its own card. That one choice decides the price.

Ramp, Brex and BILL Spend and Expense advertise $0 software. Ramp's Free plan is $0 per user and Plus is $15 per user a month plus a platform fee; Brex Essentials is $0 and Premium is $12 per user a month. Those plans are built around opening an account with them and running company spend on their cards. If your team holds Chase Ink, Capital One Spark, Amex or a community bank Visa and you want to keep the rewards, the credit line and the relationship, the $0 does not apply to you.

The tools that sit on top of existing cards all charge for software, and they charge in different units. Expensify Collect is a flat $5 per member a month, but Expensify's help center says Collect allows one company card feed; unlimited feeds need Control, listed at $18 per member a month on an annual subscription. Sage Expense Management (formerly Fyle) is built for existing Visa, Mastercard and Amex cards at $11.99 per active user a month billed annually, with a five-user minimum on Growth. SAP Concur Expense starts at $7 per report on Base. Zoho Expense Standard is $3 per user a month billed annually.

Put a team on it. Ten cardholders on two card programs, one expense report each a month: Expensify Control about $2,160 a year (Collect would be $600 but only covers one of the two feeds), Sage about $1,439, Concur from $840, Expenditure $1,440 on Starter or $2,520 on Growth with policy and approvals. The cheapest number is rarely the cheapest month end, because the cost that grows is the bookkeeper's time spent chasing receipts and recoding charges.

That is where Expenditure fits. You download the statement from each card portal as CSV, OFX or QFX and upload it. Every line gets a decision before anything is booked: a new charge becomes an expense, a charge already on file is skipped as a duplicate, and a charge whose receipt was already sent in is matched to it, within five days before posting or two days after, using the amount and the card's last four digits. Receipts are read at line level, coded to your chart of accounts and exported as a clean file for QuickBooks Online, Xero or NetSuite.

Nothing about your card program changes. You keep the cards, the rewards and the credit lines. Expenditure never moves or holds money; it reads and codes what you spend. Every plan includes 200 receipts per seat a month, pooled across the workspace, from three seats. It is software and insight, not financial, tax or accounting advice.

Yearly totals model ten US cardholders spread over two card programs. Expensify needs Control for a second feed, priced at the $18 annual list rate because the card discount requires the Expensify Card. Sage assumes ten active users at $11.99. Concur assumes one report per person per month at the $7 Base starting price. Expenditure Starter covers import, matching, coding and exports; Growth adds policy, approvals and budgets.

Why it works

What to settle before you pick a credit card expense tool

Keep every card you have

Chase, Capital One, Amex and your own bank stay as they are, with their rewards and credit lines. We read the statement, we do not replace the card.

Nothing booked twice

Each statement line is previewed as new, duplicate or matched before you confirm, so a charge that arrived as a receipt does not become a second expense.

We say where they win

Zoho and Expensify Collect cost less per seat. Sage has live feeds where we import files. We win on line-level coding, duplicate checks and one view across card programs.

What it handles

A receipt in, a categorized line out, the waste flagged

Expenditure reads each receipt, categorizes it, checks it against your policy and rolls it into up-to-date spend, then surfaces the duplicate subscriptions and savings you are leaking.

  • Imports CSV, OFX and QFX statements from any card issuer and previews every line before booking
  • Matches each charge to its receipt by amount, card and posting date
  • Skips charges already on file instead of booking them twice
  • Reads receipts at line level and codes each line to your chart of accounts
  • Checks expenses against policy and routes them for approval on Growth and Scale
  • Exports approved records for QuickBooks Online, Xero and NetSuite

Why Expenditure

Receipts read, spend categorized, waste flagged

Not manual coding, not a stale spreadsheet. Expenditure reads each receipt, checks your policy, shows up-to-date spend, and flags the savings, all on the cards and banks you already have.

Read and categorized

Snap, forward or drop a receipt. The AI reads the vendor, amount, tax and line items, categorizes it and matches the card, in seconds.

Waste flagged

Duplicate and overlapping subscriptions, unused tools, price creep and out-of-policy spend, surfaced as expenses come in with the potential saving.

Secure and in your control

Bank-grade security, we never move or hold your money, and we never train on your data. Insights, not advice, your finance team decides.

Good questions

Questions about credit card expense management

Download each card's statement, match every charge to its receipt, code it to the right account and approve it before it is booked. Doing that in a spreadsheet works for one or two cardholders. Past that, credit card expense management software imports the statement, pairs charges with receipts automatically and flags anything missing, so month end stops depending on someone chasing paper.
Yes. Expensify, Sage Expense Management, SAP Concur, Zoho Expense and Expenditure all work with cards you already hold, either through card feeds or statement imports. Ramp, Brex and BILL Spend and Expense build their free software around their own card program, so using them fully means opening an account with them and moving spend onto their cards.
Export the statement from your card portal as CSV, OFX or QFX, import it into an expense tool, attach a receipt to each line and submit it for approval. In Expenditure the import previews every line first, skips charges already booked, and matches charges to receipts already filed, so the report builds itself from the statement instead of being typed.
For a team on one card program that wants a low seat price, Expensify Collect or Zoho Expense. For live feeds from existing Visa, Mastercard and Amex cards, Sage Expense Management. For report-based billing at a larger company, SAP Concur. For line-level coding, duplicate checks and approvals across several card programs and bank accounts, Expenditure.
Published prices run from $0 to about $18 per user a month. Ramp Free and Brex Essentials are $0 but tied to their cards. On existing cards, Zoho Expense starts at $3, Expensify Collect at $5, Sage Expense Management at $11.99 per active user, and SAP Concur at $7 per report. Expenditure is $12, $21 or $33 per seat a month billed yearly.
No. A corporate card program is a credit product; expense software is the layer that reads receipts, codes charges and runs approvals. Small businesses commonly give employees cards from Chase, Capital One, Amex or their own bank and add expense software on top. You only need a new card program if you choose a platform that funds its software through its own card.
Match every statement line to a receipt and an approved expense, then confirm the card total equals the statement balance. The usual gaps are missing receipts, charges entered twice from a receipt and a statement, and personal charges. Expenditure catches the double entries on import, matches receipts by amount, date and card, and lists the lines still missing a receipt.
Yes, with a plan limit. Expensify's help center says the Collect plan allows one company card feed, while Control allows unlimited company card feeds. A business with cards from two or more banks therefore needs Control, which lists at $18 per member a month on an annual subscription and drops to as low as $9 with the Expensify Card.
Yes. Fyle now operates as Sage Expense Management (formerly Fyle) and still prices on fylehq.com. Growth is $11.99 per active user a month billed annually, or $14.99 monthly, with a five-user minimum. Business is $14.99 annually or $17.99 monthly with a ten-user minimum. An active user is anyone who creates an expense or has a connected card with activity.
No, not on seat price. Zoho Expense Standard is $3 and Expensify Collect is $5 per user a month, against our $12 Starter seat billed yearly. Expenditure earns the difference when you run several card programs, need receipts coded at line level to your own chart of accounts, and want duplicates and missing receipts caught before the books close.
