Corporate expense management software: corporate spend management solutions and company-wide spend control on your existing cards

Corporate expense management usually comes with a catch: to get the software, you have to switch to the vendor's own cards, reissue plastic to the whole company and migrate every recurring charge. That is a painful project, and it locks you into one issuer for years. Most finance teams want the control without the rip-and-replace.

Expenditure delivers corporate expense management on the cards and banks you already have. It reads receipts, categorizes spend to the right account, enforces your policy across every card, and gives you one real-time view of company-wide spend, with duplicate subscriptions and savings flagged. There is no card to switch and no money for us to hold. It is bank-grade secure with role-based access, and any payment feature runs through a licensed banking partner.

Vendors sell this under several names and the differences are mostly marketing. A corporate expense management system, platform or solution all describe the same thing: software that captures company spend, codes it, applies policy to it and reports on it. Commercial expense management is the same category again, usually used by vendors selling to larger commercial accounts. What actually separates products is narrower than the naming suggests: whether you must adopt the vendor's card, how much of the coding is automatic, which ledgers it syncs to, and whether pricing is published.

Receipt capture is the part buyers ask about most, because it is where the process breaks in practice. Expenditure reads the receipt itself rather than storing it as an attachment: vendor, date, total, tax and line items are pulled off the image or PDF, matched to the card charge that corresponds to it, and coded. Employees forward or photograph the receipt and the match happens on its own. For expense report management specifically, the reports assemble themselves out of already-coded, already-matched charges instead of being typed up at the end of the month, which is the difference between chasing a report and reviewing one.

For a startup or a small finance team, the calculation is different from an enterprise rollout. You are not trying to govern 500 cardholders, you are trying to avoid hiring someone to do reconciliation. That means the things that matter are automatic coding, an honest per-seat price you can predict as headcount grows, and no requirement to move banking relationships you just spent months opening. Expenditure is priced per seat, works on existing cards and accounts, and never moves or holds your money.

Pricing model Software free, funded by card interchange Quote only, usually per report or per user Published per-seat subscription
AI coding from the receipt Yes on their card spend Varies by module and contract Yes, line-item level on every card
Policy enforced across all cards On their cards On expense reports On every card and claim
Real-time company-wide visibility Within their card program After reports are filed Live across cards, vendors and subscriptions
Duplicate subscription detection Some savings insight Not typically Yes, plus renewal price creep
Holds or moves your money Yes, it is a card and payments program Varies Never
Typical time to value Weeks, gated on card rollout Months, implementation project Days, it connects to what you have

Card-funded platforms are genuinely good products and free software is a real advantage if you are willing to move your card program. This table is about which trade you are making, not about which vendor is better.

Why Expenditure

Receipts read, spend categorized, waste flagged

Not manual coding, not a stale spreadsheet. Expenditure reads each receipt, checks your policy, shows real-time spend, and flags the savings, all on the cards and banks you already have.

Read and categorized

Snap, forward or drop a receipt. The AI reads the vendor, amount, tax and line items, categorizes it and matches the card, in seconds.

Waste flagged

Duplicate and overlapping subscriptions, unused tools, price creep and out-of-policy spend, surfaced in real time with the potential saving.

Secure and in your control

Bank-grade security, we never move or hold your money, and we never train on your data. Insights, not advice, your finance team decides.

Good questions

Questions about corporate expense management

No. Unlike card-issuer platforms, Expenditure works with the corporate cards and banks you already have. You get categorization, policy enforcement and real-time visibility across every card without reissuing plastic or migrating recurring charges.
Each person sees only what their role allows, so an employee sees their own expenses while a controller sees company-wide spend. Expenditure is bank-grade secure and never sells or trains on your financial data, so a broad rollout stays safe.
Corporate expense management software is a tool that captures, categorizes and controls what a company spends across employees, cards and vendors. It reads each receipt, codes the charge to the right account, checks it against policy, and shows spend in real time, so finance can manage company expenses instead of reconstructing them after the month closes.
As each charge posts and each receipt arrives, the system reads the vendor, amount and line items, categorizes the expense to the correct GL account, matches it to the card, and checks it against your policy. Anything missing or out of policy is flagged for review, and the clean result syncs to your accounting system.
A corporate card program issues the plastic and sets credit limits. Corporate expense management is the software layer that makes sense of the spending: it categorizes charges, enforces policy, chases receipts and gives real-time visibility. Expenditure adds that layer to the cards you already carry, so you do not have to switch card programs to get it.
Yes. Expenditure syncs categorized, policy-checked expenses to QuickBooks, Xero and NetSuite, so clean data lands in your books without rekeying. It is software and insight, not accounting advice, and your finance team reviews before anything posts to the ledger.
A corporate expense management system is the software layer that captures, codes, policy-checks and reports company spend across employees, cards and vendors. System, platform and solution are used interchangeably by vendors and mean the same category. The real differences are whether you must switch cards, how much coding is automatic, and which ledgers it syncs to.
Commercial expense management is another name for corporate expense management, more often used by vendors selling to mid-market and larger commercial accounts. The function is identical: capture every business expense, code it to the right account, apply policy, and report on it in real time. There is no meaningful feature line between the two labels.
Yes, and it is the part that matters most day to day. Expenditure reads the receipt rather than just storing it: vendor, date, total, tax and line items are extracted and matched to the corresponding card charge automatically. Employees photograph or forward the receipt and the match and the coding happen without anyone assembling anything.
Expense report management is the workflow around submitting, reviewing and approving employee expense reports. When charges are already captured, matched to receipts and coded as they happen, the report assembles itself from that data. The reviewer checks flagged exceptions rather than reading every line, which is where most of the time saving comes from.
It is worth it at the point where reconciliation starts consuming a person. For a small finance team the value is automatic coding and predictable per-seat pricing, not enterprise governance features. Avoid platforms that require issuing their card or moving your banking, because that cost lands hardest on a company that just set those relationships up.
