Expenditure is a subscription to a spend workspace. Money paid for it is kept once charged, so it is worth knowing the few exceptions and how renewal works before your first period starts.
1. Your finance team's usage does not set the price
Plans bill monthly or yearly, in advance, in USD, at the rates on the pricing page. A period gives your company the spend dashboard, card and receipt tracking, receipt OCR, approval flows, reports and everything else in the plan, all switched on from its first day. We do not charge per scanned receipt, per linked card or per report, so a team that logs nothing pays exactly what a team logging hundreds of expenses pays. Because of that, none of the following earns money back:
- you switched finance tools, rethought spend management or dropped it altogether,
- employees hardly touched Expenditure, or not at all, during a paid period,
- a receipt total was misread, a category guess was off, or you disagree with an insight (OCR and AI suggestions are statistical, and Expenditure offers insights, not financial advice, as section 2 of our Terms says),
- receipts were blurry, cut off, handwritten or saved in a format the reader cannot open,
- a renewal was charged, including one that only cleared after the bank declined it at first,
- you took the plan for a one-time purchase, despite pricing, checkout, the receipt email and your account all describing renewal,
- the renewal date came before you cancelled, or you cancelled a moment after it,
- a feature you counted on is not on the pricing page or behaves differently from what you pictured,
- you chose the wrong plan, term or user count,
- time remains after you cancel (we never pro-rate),
- a colleague or anyone else signed in with your credentials.
2. Starting straight away
Taking out a subscription asks us to open your workspace immediately. You accept that a statutory right of withdrawal or cooling-off period, wherever one would apply, ends once that has happened.
3. Three cases that do lead to a refund
We return money only for one of these, only when the records in section 7 back it up, and never beyond the charge concerned.
- One period billed twice. Our billing took two payments where there should have been one.
- An unauthorised card payment, shown by evidence. Someone used your card without permission, you tell us within 14 days, and our logs together with the payment operator's data confirm it. The evidence settles the matter rather than the claim alone, and we may want confirmation that you notified the card issuer.
- Expenditure out of service entirely. A fault we confirm on our side meant nobody could use the workspace for an unbroken stretch, you told us as it happened, and we failed to resolve it. Slow syncing, one export that will not complete, partial faults, or problems with your own browser, network or bank feed are not enough.
Whatever we return is capped at the amount for the affected period, is sent only to the card that paid, and closes our liability for that charge entirely. One refund does not lead to another.
4. Making a request
Email [email protected] from the address on your Expenditure account no later than 14 days after the charge. Tell us the charge date and amount and the number of the case in section 3. Requests that arrive later, from a different address or through another channel are not considered. We read them in order of arrival, with no fixed reply time, and a refusal is not revisited.
5. Before you go to your bank
Spotted a charge you do not recognise on the company card? Email us before anything else. Disputing it with the bank while skipping that email breaches our Terms of Service; the account is then closed for good, and the card issuer receives the records described in section 7.
6. Cancelling and renewal
You can cancel in account settings whenever you like, with no need to contact us, and no further renewal is charged after that. A payment already taken stays in place: your workspace remains open until the paid period runs out, and cancelling is not treated as asking for a refund.
Until you cancel, the subscription renews by itself. Each period begins with full access and its fee becomes payable at that point. When the bank turns the charge down, our payment operator tries the same open invoice again over the next few days, which adds no new charge. Cancelling while that invoice is still open prevents later renewals, but the period already running stays payable and is not returned once paid. Cancel before the renewal date shown in your account to avoid the next period.
7. The records we hold
Signing up means accepting our Terms of Service, with this policy as part of them, and our Privacy Policy. Before payment, checkout shows the plan, price, term and automatic renewal, and the confirmation email restates them.
Each subscription leaves us with the purchase time, the plan and price on screen at checkout, your acceptance of the terms, every email we sent and the account log: sign-ins, cards and users added, receipts uploaded and reports exported, each with technical details. Separately, the payment operator logs every charge, noting which country issued the card, which country the payment was made from and whether 3D Secure approved it. We judge claims of unauthorised charges against these records.
8. Payments before this policy
Anything paid before 14 October 2026 stays under the terms that applied on the payment date.
