How much does Shoeboxed cost?
Shoeboxed sells three main plans plus Paper Plus. Paying yearly saves 11 percent on Starter, 17 percent on Pro and 19 percent on Plus compared with paying month to month. Here is each plan as the pricing page lists it.

A digital scan is a receipt you photograph or upload yourself. A paper scan is a receipt you mail to Shoeboxed in its prepaid Magic Envelope, which its team scans and then shreds or returns. Starter gets one envelope a year, Pro one a quarter, Plus one a month and Paper Plus two a month. Starter keeps digital scans for three years; the higher plans keep them for as long as the account is active. Gmail receipt sync is on Pro and above, and mileage tracking is unlimited on every plan.
How much does Shoeboxed cost per user?
Shoeboxed does not charge per user. It charges per plan, and each plan comes with a fixed number of users, so the cost per person depends on how close you are to the ceiling. On yearly billing, Starter is $97 for one person, Pro works out to $99 a person with all three seats filled, and Plus drops to $79.70 a person with all ten filled.
The catch is the gap between three and ten. A team of four cannot stay on Pro, so it moves to Plus at $797 a year, which is about $199 a person. A team of five pays about $159 a person. The price per head only falls back under $100 once you have eight or more people on the plan. If your headcount sits between four and seven, you pay for seats nobody uses. Shoeboxed does say it can build a custom plan through its client success team, so ask before you upgrade for one extra person.
What happens if you go over the Shoeboxed scan limit?
You keep scanning and pay per item. Starter charges $0.30 for each digital scan over 30 a month, Pro $0.15 over 200, and Plus $0.10 over 750. Extra paper scans cost $2.00 on Starter and Pro and $1.50 on Plus, and an extra Magic Envelope is $9. None of that is hidden, but it changes which plan is cheapest.
Take a three-person team on Pro that averages 260 receipts a month. The 60 extra scans cost $9 a month, or $108 a year, for a total of $405. That is still far below Plus at $797, so for a small team with heavy volume, paying the overage is usually cheaper than upgrading. The upgrade only makes sense once you need the extra users or the monthly paper envelope.
Is Shoeboxed worth it for a small business team?
For one owner who wants receipts out of a shoebox and into a searchable archive for tax time, yes. Starter at $97 a year is one of the cheapest paid options in the category, and the mail-in service is unusual: very few tools will take a box of paper off your hands. Where it gets expensive is a team, because receipts are only half the job once more than one person is spending the company's money.

So is Shoeboxed worth $797 for five people? It is if what you are buying is storage and scanning: an audit-proof archive, mileage and a place to mail paper. It is not the best buy if the expensive part of your month is deciding which account a $212 hardware store receipt belongs in, finding the card line it paid for, noticing a coworker submitted the same dinner, and getting a manager to approve it. Shoeboxed does not do those steps, and at five people they cost more in bookkeeper time than any subscription on this list.
Does Shoeboxed integrate with QuickBooks?
Yes, on Pro, Plus and Paper Plus. The QuickBooks Online and Xero integrations are not included on Starter, which only offers CSV export and audit-proof reports. Shoeboxed also connects to Wave, Evernote and Dropbox. If you plan to send receipts straight into QuickBooks Online, budget for Pro at $297 a year as the real entry price, not Starter at $97.
What arrives in QuickBooks is the receipt with its data, which your bookkeeper still reconciles against the bank or card feed. If most of your paperwork is supplier invoices rather than receipts, you may get more from a tool that can extract data from supplier invoices into Excel than from spending scan credits on them one page at a time.
When Expenditure is the better buy than Shoeboxed
We cost more than Shoeboxed for a small team, and we say that plainly. Expenditure is priced per seat, at $12 a month on Starter and $21 on Growth billed yearly, with a three-seat minimum, so the smallest account is $432 a year. For a solo owner storing receipts for taxes, Shoeboxed Starter is the cheaper and perfectly good answer.
The case for us starts when receipts come from several people and someone has to review them. Expenditure reads each receipt at line level from a phone photo, a scanned PDF or an email forwarded to your company receipt inbox, and codes it to your own QuickBooks Online, Xero or NetSuite chart of accounts. It flags a receipt that looks like one already in the books.
