The best small business expense tracker app depends on how many people spend money and whose card they use. For a team of five on the cards it already has, Expensify Collect ($300 a year) and Zoho Expense Standard ($180 a year) are the cheapest real options, Ramp and Brex are $0 if you move spending to their cards, and Expenditure ($720 a year on Starter) fits when receipts also need coding to QuickBooks or Xero, duplicate checks and matching to the card statement.
We priced every app below for the same company: five people, a couple of company cards plus some personal-card spending, and books in QuickBooks Online or Xero. Prices are list prices read on each vendor's own pricing or help pages on October 12, 2026. Several of the lists that rank for this search still quote 2023 or 2024 prices, or UK and Singapore plans, so check the date and the currency on anything you compare against.
Which is the best small business expense tracker app?
There is no single winner, because the apps split into three different products. Card programs (Ramp, Brex) give you the app free and earn from card spend. Expense report apps (Expensify, Zoho Expense) charge per user and work with any card. Bookkeeping-side tools (QuickBooks receipt capture, SparkReceipt, Expenditure) focus on getting receipts coded and matched in the books. Pick the type first, then the vendor.
| App | Price for 5 people a year | Works with your current cards | Receipt matching | Accounting sync or export | Best for |
|---|---|---|---|---|---|
| Zoho Expense Standard | $180 billed yearly ($4 a user a month monthly) | Yes | Autoscan, 200 scans per user a month | Accounting integrations on every plan | Lowest cost per head for a team that files reports |
| Expensify Collect | $300 ($5 per member a month, no annual commitment) | Yes, card feeds you bring | SmartScan pairs receipt and card line | QuickBooks Online and Xero; NetSuite needs Control | Reimbursing employees who pay on personal cards |
| SparkReceipt Elite | About $177 ($129 for one user plus $12 per extra user) | Yes | Bank statement import, suggested matches | QuickBooks Online and Xero integrations listed on Elite | An owner and a bookkeeper digitizing receipts |
| Ramp Free | $0 | No, Ramp cards | Automatic receipt collection and matching | QuickBooks Online and Xero | Companies happy to move card spend to Ramp |
| Brex Essentials | $0 ($12 a user a month on Premium) | No, Brex cards | Receipts on Brex card spend | QuickBooks, Xero and NetSuite on every plan | Startups already banking or carding with Brex |
| QuickBooks Online | Inside the plan; employee claims need Advanced at $340 a month | Yes, through bank feeds | Suggested in the Receipts tab, you confirm | It is the books | An owner who records receipts personally |
| Expenditure Starter | $720 billed yearly ($12 per seat a month, 3 seat minimum) | Yes, CSV, OFX or QFX statements | Automatic on statement import | QuickBooks Online and Xero files; NetSuite on Growth | Teams where someone codes, checks and closes the books |
Two caveats on the table. Zoho Expense also has a free plan, but it caps at three users and 20 autoscans per user a month, so a five-person team is on Standard. And QuickBooks Plus at $140 a month includes five users, but those are full bookkeeping users; Intuit only gives employees a submit-only Expense submitter role on QuickBooks Online Advanced.
What is the best app for tracking business expenses and receipts?
If one owner spends and records everything, the app that comes with your accounting software is usually enough: QuickBooks Online lets you snap or upload a receipt and suggests the bank transaction it belongs to, and Xero includes Hubdoc capture in its current US plans. Paying for a separate app makes sense once other people spend money, because then you need receipts submitted, checked against a policy and approved before they reach the books.
For those teams the deciding question is the card. If you are willing to switch, Ramp Free and Brex Essentials cost nothing in software and do the receipt chasing on their own card charges. If you want to keep your Chase, Amex or bank cards, you are choosing between a per-user report app (Expensify, Zoho Expense) and a tool built around the bookkeeping, like small business expense tracking software that reads and codes every receipt.
How much does a small business expense tracker app cost?
For five people, published prices run from $0 on Ramp or Brex cards to about $180 a year on Zoho Expense Standard, $300 on Expensify Collect and $720 on Expenditure Starter billed yearly. The cheap plans charge per user for submitting and approving; what moves the price up is approvals in several steps, NetSuite, policy rules and audit logs.
Per-user pricing hides a second cost: the bookkeeper's time after the report is approved. An approved report still has to be coded to the right expense accounts, checked for the receipt that was submitted twice, and tied back to the card statement at month end. That is where most of the hours go at a five to twenty person company, and it is the part the low-priced apps leave to you. We broke the full cost down in how much expense management software costs, including platform fees and minimums.
Do I need a corporate card to use an expense tracker app?
No. Expensify, Zoho Expense, SparkReceipt, QuickBooks and Expenditure all work with the cards you already have. Ramp and Brex are the exception: their expense software is free because it runs on their own cards, so the $0 price assumes you move company spending to them. If you keep an Amex for the rewards, budget for an expense app on top of the card fee.
Which expense tracker app works with QuickBooks Online?
All seven in the table work with QuickBooks Online in some form. Expensify Collect, Ramp, Brex and Zoho Expense sync directly. SparkReceipt integrates with QuickBooks and Xero. Expenditure exports an import-ready file for QuickBooks Online or Xero rather than holding a live connection, and adds NetSuite journal entries on Growth. If your team is on QuickBooks Plus and wondering whether Advanced is worth it just for employee expense claims, we priced that gap in QuickBooks Online Plus vs Advanced pricing.
Our honest pick for each kind of small business
Solo owner or two partners
Use the receipt capture in QuickBooks Online or Xero and skip a separate app. Neither charges extra for it, and at this size the matching suggestions are fast enough to confirm by hand.
Five people who mostly pay on personal cards
Expensify Collect at $5 per member a month is hard to beat for reimbursements: employees submit, a manager approves, and approved reports sync to QuickBooks Online or Xero. Zoho Expense Standard is cheaper per head if your team already lives in Zoho.
A startup that is fine switching cards
Ramp Free or Brex Essentials. You get receipt reminders, card controls and an accounting sync for $0. Read the card terms first; both are charge cards that need to be paid in full.
A team on its existing cards where someone owns the books
This is where Expenditure fits. Each receipt, whether photographed, uploaded or forwarded to your company receipt address, is read at line level and coded to your QuickBooks Online, Xero or NetSuite chart of accounts. A likely duplicate is flagged before it reaches the ledger. When you import the card statement as CSV, OFX or QFX, each line is matched to the receipt with the same amount, and the charges still missing a receipt sit on one short list. That last step is the subject of our page on receipt reconciliation software, because it is the step that decides how long the close takes.
Expenditure costs more than Expensify or Zoho for five people: $720 a year on Starter or $1,260 on Growth, which adds policy checks and approval routing. It earns that when it removes the bookkeeper's coding and statement-matching hours. If those hours are close to zero for you today, take one of the cheaper apps above.
What a small business expense tracker app will not do
None of these apps pays your vendors or invoices customers, and most only see the money going out. If your revenue arrives as card processor or marketplace payouts, matching those deposits back to the invoices they settle is a separate reconciliation, and a tool built for matching processor payouts to invoices does that job better than any expense app. Expenditure also does not issue cards, move money or replace your accountant; it is software and insight, not tax or accounting advice. Receipts and statements are encrypted, access is controlled per member, and your financial data is never sold or used to train AI models.
If you want the side-by-side on features rather than price, our roundup of business expense tracking apps covers capture, approvals and exports for each tool, and Zoho Expense vs Expensify pricing goes deeper on the two cheapest per-user options.
Frequently asked questions
Which expense tracker app is best for reimbursing employees?
Expensify Collect, because reimbursement is what it was built for: employees SmartScan a receipt, submit it, a manager approves it, and the report syncs to QuickBooks Online or Xero, for $5 per member a month. Expenditure codes and approves reimbursable claims too, but it exports them for your usual payment run rather than paying employees itself.
Is Expensify good for small businesses?
Yes, for reimbursements. Collect is a flat $5 per member a month with no annual commitment, covers SmartScan, approvals and QuickBooks Online or Xero sync, and works with the cards you have. It gets expensive when you need NetSuite, multi-level approvals or audit logs, which sit on the Control plan.
What is the cheapest expense tracker for a team of 5?
On published list prices, Ramp Free and Brex Essentials at $0 if you switch cards; otherwise SparkReceipt Elite at about $177 a year and Zoho Expense Standard at $180 a year billed yearly. Expensify Collect is $300 a year for five members and Expenditure Starter is $720 a year billed yearly.
Can an expense tracker app match receipts to my credit card statement?
Most can, in different ways. Expensify and Ramp match receipts to their card feeds, QuickBooks Online suggests matches you confirm, and Expenditure matches each imported statement line to a receipt with the same amount dated up to five days before or two days after posting, then lists the lines with no receipt.
