QuickBooks expense report software exists because of one line in Intuit's own documentation that almost nobody reads before they buy: employees can only submit expense claims on QuickBooks Online Advanced. Not Simple Start, not Essentials, not Plus. Advanced, which lists at $340 a month. If your team is on Plus at $140 and you want people to file expense reports inside QuickBooks, the native answer costs an extra $200 a month, or $2,400 a year. That single fact reframes the whole category. Expense report add-ons for QuickBooks are usually pitched against doing nothing, or against a spreadsheet. In practice they compete against a $200 a month upgrade, and once you price it that way the arithmetic gets much clearer for a company under about twenty-five people. Receipt capture is genuinely included on every QuickBooks Online plan, so photographing a receipt is free. Submitting, routing and approving a report is the part that sits behind the tier.

It is also worth knowing what the Advanced feature actually is once you have paid for it. Intuit's Expense Submitter role lets a person send in an expense with a receipt attached, and nothing else: they cannot view the books or record anything directly. You get submission and a place to review claims. You do not get multi-step approval routing, policy checks that fire as the expense lands, or automatic coding to the right GL account. For a lot of teams that is enough. For a team where the finance lead is currently recoding half of what arrives, it is not the part that was broken.

Expenditure is what you add on top of the QuickBooks plan you already pay for. Your team files an expense report from a phone, we read the receipt and pull vendor, date, total, tax and line items, decide which account the charge actually belongs to rather than copying the last one from that vendor, check it against your expense policy as it arrives, match it to the card transaction, route it through your approval chain, then sync one clean coded record into QuickBooks Online. You keep your existing cards and bank accounts, you keep your existing QuickBooks plan, and we never move or hold your money.

Where QuickBooks alone is still the right call, and we would rather say it plainly: if you are already on Advanced, if your expenses are simple and mostly one line each, and if nobody is spending real time fixing categories afterwards, the built-in submission flow does the job and you should use it. Buy something else when the problem is the coding and the approvals, not the typing. This is software and insight rather than accounting or tax advice.

The pattern worth noticing: QuickBooks sells expense submission as a tier, not as a feature. That is why a five-person company on Plus and a thirty-person company on Advanced reach completely different conclusions from the same shortlist, and why comparing add-on prices against zero gives you the wrong answer.

Partly, and the tier matters. Employees can submit expense claims only on QuickBooks Online Advanced, which lists at $340 a month. On Simple Start, Essentials and Plus there is no employee submission flow at all: you record expenses yourself. Receipt capture is separate and is included on every plan. If you are on Advanced, invite the person to the Expense Submitter role, set the expense categories they will see, and they can send an expense with a receipt attached for you to review and match. If you are on any lower plan, there is no submission flow, so the practical route is to enter the expense yourself or add an expense report tool that posts into QuickBooks.
It depends on which part is broken. If people simply cannot submit, almost anything that posts into QuickBooks fixes it, and the real comparison is against the $200 a month Advanced upgrade. If reports arrive but land in the wrong accounts, you need coding rather than submission, which is the gap Expenditure was built for. Price both against the upgrade, not against zero.
For native expense claims inside QuickBooks, yes. Intuit restricts the Expense Submitter role to Advanced. You do not need Advanced if you use an expense report tool that syncs into QuickBooks, because the submission and approval happen in that tool and only the finished coded transaction is written to your books.

It gives you submission and a review queue, not a multi-step approval chain or automatic categorization.
Yes, on every plan at no extra charge. You can photograph a receipt in the mobile app, upload a file, or forward one to a dedicated email address, and QuickBooks reads the vendor, date, total and tax and suggests a match against a bank feed transaction. Access is tied to the user role, so limited users often cannot reach it.
Receipt capture is one document going into your books. An expense report is a batch of expenses a person submits for approval and reimbursement, with a status and an approver. QuickBooks includes the first on every plan and restricts the second to Advanced, which is why teams are often surprised that they have receipt capture and still cannot run expense reports.
Not as employee submissions. Plus at $140 a month covers 5 users and full expense recording, but the Expense Submitter role is not available on it. Your options are to record everyone's expenses centrally, upgrade to Advanced, or add an expense report tool that sits on top of Plus and writes coded transactions back into it.
It records and pays them, through payroll as a nontaxable reimbursement or as a separate check or bank transfer. What it does not do below Advanced is let the employee raise the claim. Note that we never move or hold money ourselves: we produce the approved, coded, policy-checked record, and the payment runs through your existing payroll or bank.
Published US rates vary by what the vendor meters. Expensify Collect is a flat $5 per member per month. Zoho Expense Standard is $4 per user monthly or $3 annually, with autoscans capped at 200 per user per month. Expenditure is $12, $24 or $39 per user per month. It should not, and this is the specific thing to test in a trial. The tool has to match the approved expense to the card or bank transaction already on your feed and post one record, not two. Ask any vendor to demonstrate it on your own data with a card feed connected, because a duplicate every time somebody submits a card expense is a month-end problem, not a minor annoyance.
Yes. We run on the cards and bank accounts you already have and there is no card program to switch. That is worth checking with every vendor on your shortlist, because several published discounts in this category are conditional on routing your card spend through the vendor, and the headline price and the price you actually pay are different numbers if you decline.
Connect QuickBooks Online, import your chart of accounts, invite the people who submit, and set the approval thresholds. The part that takes real thought is the category mapping, because that is where the value is. Run one month in parallel with however you do it now, on the same expenses, and count how many categories you correct in each.

If you are on Desktop, check any shortlisted vendor specifically for Desktop support rather than assuming it, because several tools in this category integrate with Online only, and a few support Desktop through a file export rather than a live connection. It is the single most common integration surprise in this category.
Keep the expense history in the expense system rather than only in the ledger, and check before you buy that you can export approved reports with their receipts and coding attached. We also sync to Xero and NetSuite, so a move off QuickBooks does not mean rebuilding your expense workflow from scratch.
