QuickBooks receipt scanner: scan receipts into QuickBooks Online with a receipt scanner app that codes every expense
A QuickBooks receipt scanner reads a photo or PDF of a receipt, pulls the vendor, date and amount off it, and files it against the right transaction in QuickBooks. QuickBooks Online already ships with one. Receipt Capture is included in every QuickBooks Online plan and, per Intuit's own help documentation, pulls the date, vendor, total and the last four digits of the card, then creates a transaction for you to review, edit and match. What it does not do is decide which of your GL accounts the charge really belongs to, read the line items, check the spend against your expense policy, or notice that you are paying for the same tool twice.

That is the gap Expenditure fills. It reads every receipt, codes it to the right GL account with AI rather than a vendor-name keyword rule, checks it against your policy, routes it for approval, and only then syncs a clean coded record into QuickBooks Online. The scan is the easy part. The expensive part is everything that happens between the scan and a set of books you would sign off on, and that is the part most teams are still doing by hand at month end.
Be honest about whether you need this. If you are a two-person business filing a handful of receipts a month, the built-in Receipt Capture is free with your QuickBooks subscription and it is fine. Where it stops being fine is volume and judgment: dozens or hundreds of receipts a month, multiple people spending, a policy someone has to enforce, categories that are not obvious from the vendor name, and a close that keeps slipping because somebody is recoding transactions line by line.
Expenditure runs on the cards and banks you already have, so nobody has to switch cards to use it. It never moves or holds your money. It is bank-grade secure and we never sell your financial data or train on it.
